Information for Meeting Volunteers for BMES 2008

  • Thank you for your interest in volunteering for BMES 2008. It is a long-held and proud tradition for the Society that we engage so many students in so many high profile on-site Annual Meeting management opportunities. In turn, our modestly staffed Society and Leadership are so very appreciative of the manpower that helps the meeting run smoothly. Although volunteering is indeed work and a small time commitment, it is also an exciting and more than rewarding experience!
  • For student volunteers, their Chapter and their school, the rewards can be many: networking by working with high profile BME presenters; Society and Meeting-wide exposure and promotion for your BMES Student Chapter, exclusive access to BME Industry executives in our Exhibit Hall, exclusive access to President's or other VIP Reception's; exclusive access to Student Hospitality events; and meals provided during some volunteer time slots. By being a part of this Volunteer network there is incredible access and network opportunities, even the potential to room or travel share amongst your peers. Join us today!

Service Opportunities

  • There are several different kinds of volunteer jobs associated with BMES 2008 Annual Fall Meeting. Two primary functions: working the registration/information desks, serving as meeting room attendant for the platform and poster sessions, assisting at the special events, directing participants where to go, and stuffing the brief bags before the meeting. The meeting operations extend from about 7 AM to 9 PM, and there are volunteer jobs throughout each day. The greatest volunteer needs, however, are in the morning (8:30 AM-10 AM) and then late afternoons.
  • At this year's meeting we will need about 150 volunteers, with each volunteer serving a total of 6 to 8 hours of service. These hours will typically all be scheduled in one day. In return for their service, depending on which category they fall in, volunteers will receive either a full or a partial waiver of the 2008 BMES Annual Fall meeting registration fee. There are 2 categories:
  • CATEGORY #1: Any student volunteer wishing to attend the meeting for only 1 day would receive free registration for THAT day. (An exception would be volunteers who work Tuesday evening, before the meeting begins; they would receive free admission for another day.) These volunteers would be able to attend meeting activities when they are working. Most volunteers will fall into this category. Undergraduates presenting papers or posters in the special "Undergraduate Research" category are eligible to be Category 1 volunteers, but any student presenting a regular paper or poster would not be, since all regular presenters are expected to register for the meeting.
  • CATEGORY #2: Students wishing to attend the full meeting will receive a partial registration fee waiver: They will be discounted off the daily registration fee. These volunteers will receive all the benefits afforded regular registrants. Students who are presenting at the meeting are eligible to volunteer in this category.

Positions

  • Pre-Meeting Preparation
    Responsible for assembling materials in tote bags and other duties as assigned. Note: Dinner provided during this 'shift'. Suitable for students who wish to be a general volunteer.
  • Pre-Meeting Workshop Monitors
    Responsible for each workshop's A/V equipment and lighting; assists workshop leader with general tasks. Also responsible for ensuring all participants are wearing a badge, distributing and collecting evaluations as well as accurate head-counts and other duties as assigned. Note: Boxed lunches provided for this 'shift'. Suitable for students who wish to attend the workshops without paying for the additional fees.
  • Poster Monitor
    Responsible for assisting participants with setting up their posters; may also need to direct participants to their poster locations; ensuring all participants are wearing a badge and other duties as assigned. Suitable for students who are interested in browsing the latest research.
  • Ticket Collectors
    Responsible for collecting tickets from the guests (tickets absolutely must be taken from each guest) and other duties as assigned; collectors get to enjoy the reception after entry volume dwindles. Suitable for students who are interested in experiencing receptions and networking.
  • Direction Guides
    Responsible for directing the participants to meeting rooms and ensuring all participants are wearing a badge. The guides will also assist guests in locating meeting and special session rooms. Guides may also be needed to assist with crowd control, especially near/around the registration area. Suitable for students who wish to be a general volunteer.
  • Registration
    Responsible for registering participants arriving at the meeting; replenishment of tote bags and publication bins and other duties as assigned. Suitable for students who wish to be a general volunteer.
  • Session Attendant
    Responsible for each session room's A/V equipment and lighting during each presentation (does not need to change slides) and ensure all participants are wearing a badge. Also responsible for distributing and collecting evaluations as well as accurate head-counts and other duties as assigned. Suitable for students who wish to attend presentations on the latest research.
  • Speaker Ready Room Attendant
    Responsible for monitoring activities in Speaker Ready room including but not limited to copying for presenters, loading presentations, etc....
